Contact for anything about your data: hello@desksnortheast.co.uk (subject "Privacy").
The short version
- You can search the site without giving us any personal data. There are no accounts and no enquiry forms for people looking for space.
- We don't use cookies or similar technologies that need your consent, and we don't use advertising or tracking pixels.
- Our listings are about businesses. We publish business contact routes only (a business website, switchboard and generic email such as info@), never named staff, unless the operator asks us to.
- We never sell personal data.
1. Listing information (Article 14 information)
What: For each space we list the business name, address, types of space, published prices, opening hours, facilities, website, business phone number and any generic business email, together with where we found it and the date we last checked it.
Where from: The operator's own public website (and information operators send us when they claim a listing).
Is it personal data? Mostly not: it's about businesses. But if a space is run by a sole trader or partnership, or an operator gives us a named contact, some of it can be personal data.
Why and lawful basis: To run a useful, accurate public directory of desks, offices and meeting rooms in the North East. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): helping people find spaces and helping spaces be found. We've balanced this against operators' interests: we use only information the business already publishes to promote itself, we publish business contact routes only, and anyone can ask us to correct or remove a listing.
Who sees it: It's published on the site for anyone to see.
How long: For as long as the space is listed. If a listing is removed, we keep a short record (name and the fact it was removed at your request) so we don't add it again, for as long as the directory runs.
Your right to object: You can ask us to remove or correct a listing at any time: hello@desksnortheast.co.uk. If you object, we'll stop publishing personal data about you unless we have compelling grounds, which in practice we won't.
2. Claiming a listing, adding a space, or reporting an error
What: Your business name, your role, a business email address and phone number, the changes you want, and anything else you choose to tell us.
Why and lawful basis: To verify that you represent the business and to update the listing: legitimate interests (Article 6(1)(f)), and, if you go on to buy a paid placement, steps towards and performance of a contract (Article 6(1)(b)).
How long: For as long as you have a listing with us plus 12 months; error reports for 12 months.
We won't add you to any marketing list without asking. If we send you marketing about our services, every message will tell you how to opt out.
3. Paying for a Featured or Area sponsor placement
Payments are handled by Stripe Payments UK Ltd on Stripe's own hosted checkout page; we never see your full card details. Stripe acts as our processor for payment processing and as an independent controller for its own fraud-prevention and legal duties (see stripe.com/gb/privacy).
What we keep: business name, billing contact, email, the placement you bought, invoices and payment status.
Lawful basis: contract (Article 6(1)(b)) and legal obligation (Article 6(1)(c)) for accounting records.
How long: accounting records for 6 years from the end of the financial year they relate to (Companies Act 2006 requirement for company records); other details for as long as you're a customer plus 12 months.
4. Visiting the site
Hosting: The site is hosted on Cloudflare Pages by Cloudflare, Inc. (our processor), which processes technical data such as your IP address and browser details to deliver and secure the site.
Analytics: We don't use analytics. If we add them, we'll update this notice first.
Map: The maps on this site are simple static images drawn by our own site. They don't use a third-party map provider, don't load map tiles from anyone else and don't set cookies. If we add a map provider, we'll update this notice first.
"Near me": If you tap "Near me", your browser asks your permission and uses your location on your device to sort results. Your location is not sent to us or stored.
Fonts: Our fonts are hosted on our own site, so no request goes to Google.
5. Cookies and similar technologies
We don't set cookies or use similar storage on your device on the directory pages.
If you go to Stripe's checkout to pay for a placement, Stripe may set cookies that are strictly necessary to prevent fraud and complete the payment you asked for.
6. Who we share data with
Only our processors (Cloudflare for hosting, Stripe for payments and Apple's iCloud Mail for email) and, if the law requires it, regulators or law enforcement. We don't sell or rent personal data.
7. International transfers
Cloudflare, Stripe and Apple may process data in the United States. Where that happens, the transfer is protected by the UK Extension to the EU to US Data Privacy Framework or the UK International Data Transfer Addendum.
8. Your rights
You have the right to access your personal data, to have it corrected or erased, to restrict or object to our use of it, and to data portability where it applies. Email hello@desksnortheast.co.uk. We'll reply within one month. There's no charge.
9. Complaints
Please tell us first and we'll try to put it right. You can also complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, 0303 123 1113.
10. Changes
If we change this notice we'll update the date at the top. If we start an enquiry form or newsletter, we'll add a section here before launching it.
